Vantage HDI Privacy Policy
Effective Date: August 10, 2026 · Last Updated: August 10, 2026
Vantage HDI respects privacy and is committed to responsible data practices.
This Privacy Policy explains how Vantage HDI collects, uses, discloses, retains, and protects personal information when you visit our website, communicate with us, request information or a demonstration, use our services, or otherwise interact with Vantage HDI.
It also describes certain privacy rights that may be available to you under applicable law.
For purposes of this Privacy Policy, “Vantage HDI,” “we,” “our,” and “us” refer to Vantage HDI and the entity that operates the Vantage HDI platform.
1. About Vantage HDI
Vantage HDI provides healthcare market intelligence designed to help healthcare organizations understand consumer demand, geographic opportunity, competitive activity, service-line opportunities, market trends, digital engagement, and related business intelligence.
Vantage HDI is not an electronic health record system, healthcare provider, health plan, or clinical decision-making platform.
Our standard market-intelligence services are designed to operate without requiring patient medical records, clinical histories, diagnoses, treatment records, or electronic health record access from healthcare organizations.
2. Information We May Collect
The information we collect depends on how you interact with Vantage HDI.
Information You Provide Directly:
Name, business email address, telephone number, company or organization, job title, business address, information submitted through contact forms, demo requests, messages and correspondence, customer-support communications, information provided during meetings, calls, or sales discussions, account information (if account functionality is provided), and preferences relating to communications or services.
Please do not submit patient medical records, clinical information, or other protected health information through general website forms unless Vantage HDI has expressly authorized that submission for a specific contracted service.
3. Website and Device Information
When you visit our website, we and our service providers may automatically collect information such as:
IP address, browser type, device type, operating system, pages viewed, referring website, approximate geographic location, date and time of visits, website interactions, session information, click activity, traffic-source information, and cookie and similar technology identifiers.
We may use this information to operate the website, understand usage, improve performance, prevent abuse, measure marketing effectiveness, and understand interest in our services.
4. Business and Professional Information
Because Vantage HDI primarily serves healthcare organizations and other businesses, we may collect professional information such as:
Employer, professional role, industry, business contact information, organizational affiliation, department, and areas of professional interest.
We may obtain this information directly from you or from lawful business-information sources.
5. Market, Consumer, and Audience Data
Vantage HDI may receive or analyze data from third-party data providers, public sources, technology platforms, analytics providers, advertising platforms, business-information providers, and other lawful sources.
Depending on the service, such information may include:
Consumer interests, online research activity, website engagement, advertising engagement, geographic information, demographic characteristics, household characteristics, population trends, housing trends, consumer purchasing or shopping indicators, provider and facility information, market-demand indicators, competitive activity, business and professional information, and audience classifications or segments.
Some information may be aggregated, modeled, inferred, pseudonymous, or associated with broader consumer segments rather than directly supplied by an individual.
6. Healthcare-Related Consumer Information
Certain data sources may contain information or inferences concerning consumer interest in healthcare providers, healthcare services, wellness topics, treatments, or related subjects.
Vantage HDI does not treat consumer behavioral or interest data as a medical diagnosis. For example, researching cardiology services does not establish that an individual has a heart condition. A person's interest in a healthcare subject should not be interpreted as confirmation of that person's medical status.
Vantage HDI is designed to use such information for permitted market-intelligence, planning, analytics, and approved consumer-engagement purposes rather than clinical diagnosis or treatment decisions.
7. Protected Health Information
The HIPAA Privacy Rule generally protects individually identifiable health information held or transmitted by covered entities and their business associates.
Vantage HDI's standard market-intelligence services are designed so that healthcare organizations do not need to provide Vantage HDI with patient medical records or PHI.
Unless specifically agreed otherwise in writing, Vantage HDI does not require EHR access, patient charts, clinical notes, treatment histories, diagnostic records, laboratory results, or prescription histories.
If a specific future service involves information subject to HIPAA, appropriate contractual, legal, privacy, and security requirements would need to be addressed separately before such information is processed.
Information that has been properly de-identified under applicable HIPAA standards is not treated as PHI under the HIPAA Privacy Rule.
8. How We Use Information
We may use information to:
Provide Vantage HDI services, produce market intelligence, analyze consumer demand, identify geographic trends, analyze service-line opportunities, evaluate market growth, identify competitive activity, support strategic planning, support footprint and facility planning, measure digital engagement, improve marketing effectiveness, support permitted customer acquisition activities, support permitted retention and leakage-reduction strategies, provide demonstrations, respond to inquiries, manage customer relationships, provide customer support, operate and improve our website, develop and improve products and services, conduct analytics, prevent fraud and misuse, protect our systems, enforce agreements, meet legal obligations, and maintain business records.
We may also create aggregated, statistical, or de-identified information that does not reasonably identify an individual and use such information for analytics, benchmarking, product development, research, and market intelligence.
9. How We May Disclose Information
We may disclose information to service providers and other parties that help us operate Vantage HDI, such as:
Cloud-hosting providers, data providers, analytics providers, website-service providers, customer-relationship-management providers, communications providers, data-processing providers, security providers, professional advisers, consultants, contractors, and payment providers (if applicable).
These parties may process information only as necessary to perform services for us or as otherwise permitted by applicable law and contract.
We may also disclose information when reasonably necessary to comply with law or legal process, respond to lawful government requests, protect rights, property, or safety, investigate fraud or security incidents, enforce contractual obligations, or complete a merger, acquisition, financing, reorganization, or sale of business assets.
10. Client Information
Information provided to Vantage HDI by a client remains subject to the applicable agreement between Vantage HDI and that client.
We do not sell proprietary client-supplied business information to third parties.
Client information may be used as necessary to provide contracted services, maintain and secure those services, comply with law, and perform other activities permitted by the applicable agreement.
11. Sale and Sharing of Personal Information
Certain privacy laws define terms such as “sale,” “sharing,” and “targeted advertising” broadly and may treat some data transfers involving advertising technology or third-party data services as regulated activities even when no money changes hands.
Where required by applicable law, eligible individuals may have the right to opt out of: sale of personal information, sharing of personal information for cross-context behavioral advertising, targeted advertising, and certain forms of profiling.
California law requires covered businesses to provide consumers with information regarding categories of personal information collected and certain rights relating to that information. Colorado likewise provides rights regarding access, correction, deletion, portability, sales, targeted advertising, and certain profiling activities where its law applies.
Where applicable, you may submit an opt-out request using the contact information provided below.
If Vantage HDI uses advertising technologies subject to universal opt-out mechanisms in jurisdictions requiring recognition of those signals, Vantage HDI will process supported signals as required by applicable law.
12. Cookies and Similar Technologies
We may use cookies, pixels, tags, scripts, analytics technologies, local storage, and similar technologies.
These technologies may help us keep the website functioning, remember preferences, understand site usage, measure website performance, understand traffic sources, prevent fraud, measure campaigns, improve our services, and deliver or measure advertising where permitted.
You may be able to control some cookies through your browser settings or through any cookie-preference controls made available on our website. Blocking certain technologies may affect website functionality.
13. Analytics and Advertising
We may use analytics or advertising partners to understand how people interact with our website or marketing.
These providers may collect device, browser, IP, cookie, website interaction, and similar information according to their own privacy practices and contractual relationship with Vantage HDI.
Where required, we will provide appropriate mechanisms for users to exercise applicable opt-out rights.
14. Consumer Health Data
Some U.S. jurisdictions have enacted privacy laws that can regulate consumer health data even when that information is not PHI under HIPAA.
For example, Washington's My Health My Data Act applies to certain personal information linked or reasonably linkable to a consumer that identifies past, present, or future physical or mental health status and imposes specific notice, consent, access, deletion, security, and sharing requirements.
If Vantage HDI collects or processes information that is legally defined as consumer health data under an applicable state law, Vantage HDI will handle such information in accordance with applicable legal requirements.
Where legally required, Vantage HDI may provide a separate Consumer Health Data Privacy Notice describing categories of consumer health data collected, purposes for collection, sources of such information, categories of information shared, recipients of such information, consumer rights, consent practices, and deletion procedures.
This Privacy Policy is not intended to replace any separate consumer-health-data notice required under applicable law.
15. Sensitive Personal Information
We seek to limit collection of sensitive personal information to what is reasonably necessary for legitimate and permitted business purposes.
Depending on applicable law, sensitive information may include certain health-related information, precise geolocation, government identifiers, account credentials, racial or ethnic origin, biometric information, or other legally protected categories.
We do not encourage individuals to provide sensitive personal information through general website contact forms.
16. Data From Third Parties
Vantage HDI may obtain information from third-party sources.
Those parties are responsible for their own collection practices and compliance obligations.
Vantage HDI evaluates third-party data based on intended business uses, contractual restrictions, data availability, and other relevant considerations. The availability of data from a third party does not mean that Vantage HDI may use that data for every possible purpose. Uses may be limited by law, contract, platform rules, industry standards, or Vantage HDI policy.
17. Data Accuracy and Inferences
Market intelligence often involves statistical analysis, modeled data, inferred interests, probabilistic information, and projections.
Such information may not always be complete, current, or accurate at an individual level.
Vantage HDI does not represent inferred consumer interests as verified medical facts. Vantage HDI insights should be evaluated as market and business intelligence and not as clinical determinations.
18. Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including: providing services, maintaining customer relationships, fulfilling contractual obligations, maintaining business records, protecting against fraud, resolving disputes, enforcing agreements, meeting legal obligations, and maintaining security.
Retention periods may differ depending on the type of information, source, purpose, contractual requirements, and applicable law.
When information is no longer reasonably necessary, we may delete, de-identify, aggregate, or otherwise securely dispose of it.
The FTC recommends that businesses retain only information they reasonably need and dispose of information securely when it is no longer necessary.
19. Data Security
We use reasonable administrative, technical, and organizational measures designed to protect information against unauthorized access, use, alteration, loss, or disclosure.
Measures may include, where appropriate: access controls, authentication safeguards, secure transmission, system monitoring, vendor oversight, data minimization, security updates, employee access limitations, and incident-response procedures.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
The FTC advises businesses to use safeguards appropriate to the nature of the information they possess and to collect and retain only information they reasonably need.
20. Your Privacy Rights
Depending on where you reside and applicable law, you may have rights to: know whether we process your personal information; access personal information; obtain a copy of personal information; correct inaccurate information; request deletion; request portability; opt out of certain sales; opt out of targeted advertising; opt out of certain profiling; withdraw consent where processing relies on consent; limit certain uses of sensitive personal information; and appeal certain privacy-request decisions.
These rights are subject to applicable legal limitations and exceptions.
21. How to Exercise Your Rights
You may submit a privacy request by:
Email: privacy@VantageHDI.com
Web Form: [PRIVACY REQUEST URL]
Mail: [VANTAGE HDI LEGAL ENTITY], [ADDRESS], [CITY, STATE ZIP]
Please include enough information for us to reasonably understand and process your request. We may need to verify your identity before fulfilling certain requests.
Authorized agents may submit requests where permitted by applicable law. We may require reasonable proof of authorization and identity verification where permitted.
We will not unlawfully discriminate against you for exercising applicable privacy rights.
22. Appeals
Where applicable law provides a right to appeal a denial of a privacy request, you may appeal by contacting privacy@VantageHDI.com.
Please write “Privacy Appeal” in the subject line and describe the request and decision you are appealing.
23. Children
Vantage HDI is a business-to-business healthcare market-intelligence service and is not intended for children.
We do not knowingly solicit personal information directly from children under 13 through our website.
If we learn that personal information from a child was collected in circumstances requiring deletion, we will take appropriate steps consistent with applicable law.
24. Do Not Track
Some browsers offer “Do Not Track” signals.
Because there is not one universally implemented technical standard for all Do Not Track signals, our website may not respond to traditional browser Do Not Track settings.
We will honor legally required privacy preference signals or universal opt-out mechanisms where applicable.
25. International Visitors
Vantage HDI is primarily directed to organizations and users in the United States.
If personal information is accessed or processed outside your jurisdiction, it may be subject to laws different from those where you reside.
If Vantage HDI expands its services to jurisdictions requiring additional international privacy disclosures or cross-border-transfer mechanisms, those requirements will be addressed as applicable.
26. Links to Other Websites
Our website may contain links to third-party websites or services.
Vantage HDI is not responsible for the privacy, security, or content practices of third parties. We encourage you to review their privacy policies before providing information.
27. Business Transfers
If Vantage HDI is involved in a merger, acquisition, restructuring, financing, bankruptcy, sale of assets, or similar transaction, information may be transferred as part of that transaction subject to applicable law.
28. Legal Requirements
We may preserve or disclose information if we reasonably believe doing so is necessary to comply with applicable law; respond to subpoenas, warrants, court orders, or lawful requests; protect Vantage HDI or others; investigate fraud; respond to security events; enforce our agreements; or protect legal rights.
29. Changes to This Privacy Policy
We may update this Privacy Policy periodically.
When we make material changes, we will update the “Last Updated” date and provide additional notice where required by law.
Your continued interaction with Vantage HDI after an updated policy becomes effective is subject to applicable law and does not override any consent requirement that may separately apply.

California Privacy Notice
If the California Consumer Privacy Act, as amended, applies to Vantage HDI's processing of your personal information, California residents may have rights to know, access, correct, delete, and obtain information concerning certain disclosures, and may have rights to opt out of sale or sharing where applicable. California law also requires covered businesses to provide certain disclosures concerning categories of information collected and purposes of collection.
During the preceding 12 months, depending on how an individual interacted with Vantage HDI, we may have collected categories such as: identifiers; internet or electronic activity; commercial information; professional or employment information; approximate geolocation; inferences; and other information voluntarily provided.
We may collect these categories for the purposes described in this Privacy Policy.
We do not use or disclose sensitive personal information for purposes requiring a right to limit unless otherwise disclosed.
California residents may submit requests using the privacy-request methods described above.
Notice Regarding Healthcare Information
Vantage HDI provides market intelligence, not medical care.
Healthcare-related online behavior, consumer interests, audience classifications, predictive indicators, or market signals should not be interpreted as confirmed diagnoses, medical records, or clinical conclusions.
Standard Vantage HDI market-intelligence services do not require healthcare organizations to provide Vantage HDI with PHI or patient medical records.
If the nature of a specific engagement changes, additional terms, agreements, notices, safeguards, or consents may apply.
